Key Responsibilities:
- Exceptional Customer Service: Be the first point of contact for clients, visitors, and staff, providing a professional and welcoming experience.
- Office Administration: Handle phone inquiries, manage room and vehicle bookings, distribute mail, and ensure the smooth day-to-day operation of the office.
- Event Coordination: Plan and organize internal meetings, workshops, and forums, including room bookings, catering, and travel arrangements.
- Support for Clinicians: Assist with client data entry, document management, Medicare billing, and travel bookings.
- Maintain Professional Spaces: Ensure office areas, meeting rooms, and common areas are clean, organized, and professionally presented.
- Task Management: Take on additional administrative tasks as assigned by managers, ensuring deadlines are met with accuracy and efficiency.
- Record Keeping: Maintain up-to-date and accurate records, ensuring compliance with privacy regulations and internal policies.
What We’re Looking For:
- Outstanding Customer Service: You excel at building relationships and providing exceptional customer service.
- Administrative Expertise: Proven experience in providing exceptional administrative support.
- Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook) and strong computer skills.
- Attention to Detail: Accurate data entry and a keen eye for detail.
- Clear Communicator: Exceptional verbal and written communication skills.
- Team Player: You thrive in a collaborative environment and work best in a team structure
- Organisational Skills: Strong time management and prioritization abilities.
- Valid Driver’s License: A current driver’s license is required.
